What you'll do:

As an Office Manager based in Jakarta, you will play a central role in creating an efficient, safe, and welcoming workplace for all employees. Your day-to-day activities will involve coordinating with various stakeholders both inside and outside the organisation to ensure that every aspect of office operations runs smoothly. From managing facilities maintenance schedules to overseeing supply inventories and handling vendor negotiations, your proactive approach will help maintain a productive environment.   • Oversee daily office operations to ensure all facilities are maintained at optimal standards and any issues are resolved promptly with minimal disruption.
  • Coordinate procurement and inventory management of office supplies, ensuring availability while maintaining cost efficiency.
  • Manage relationships with external vendors and service providers, negotiating contracts and monitoring performance to guarantee high-quality services.
  • Develop, implement, and regularly update general affairs (GA) policies and standard operating procedures (SOPs) to enhance operational effectiveness.
  • Supervise security measures within the office premises by liaising with security personnel and implementing best practices for safety.
  • Administer service contracts, leases, and insurance agreements related to the workplace, ensuring compliance with legal requirements and timely renewals.
  • Support internal teams by facilitating workspace arrangements, equipment needs, and event logistics as required.
  • Monitor office budgets related to facilities management and supplies procurement, providing regular reports to senior management.
  • Champion sustainability initiatives within the office environment by promoting responsible resource usage and waste reduction programmes.
