What you'll do:

As an Executive Secretary, your primary role will be to provide comprehensive support to the CEO. You will manage their schedule meticulously, coordinate meetings and travel arrangements, and handle all forms of communication on their behalf. Your responsibilities will also include maintaining both paper and electronic records, preparing various documents, and liaising effectively with other departments. You will be entrusted with confidential information which you must handle with utmost discretion. Occasional travel may be required for business trips or important meetings.

  • Organise the day-to-day schedule of the CEO, including appointments, meetings, and travel arrangements
  • Monitor progress of departmental assignments, ensuring timely responses in accordance with established policies and procedures
  • Manage communication channels and respond to correspondence appropriately
  • Perform special and confidential assignments as required
  • Maintain paper and electronic records ensuring proper organisation of information along with easy accessibility
  • Prepare and distribute internal and external documents, including reports, memos, and letters
  • Handle confidential information with discretion and professionalism
  • Communicate effectively with other departments and external stakeholders
  • Travel when necessary for business trips, conferences, and important meetings

What you bring:

The ideal candidate for this Executive Secretary position will have a Bachelor's degree in Business Administration or a related field. Prior experience in a similar role is essential. You should possess strong communication skills to collaborate effectively with team members and stakeholders. Excellent organisational skills are key to manage multiple tasks simultaneously. Familiarity with MS Office tools like Excel and PowerPoint along with office management software such as ERP would be advantageous. A problem-solving mindset coupled with attention to detail is crucial for this role. Fluency in English is mandatory.
